Terms and Conditions 

BOOKING WITH US

Bookings & Payments

A 30% deposit is required to confirm all bookings.
The balance is payable 21 days prior to departure.

Payment methods accepted:
• Direct bank deposit
• Cash
• Selected credit cards (credit card payments incur a transaction fee)

Cancellation Policy

All cancellations must be received in writing.

Day Tours & Short Trips (1–2 Days)

• Cancellations made 48 hours or more prior to departure: deposit refunded
• Cancellations made within 48 hours of departure: no refund

Multi-Day Tours (3 Days or Longer)

• A 30% non-refundable deposit applies
• Cancellations made 30 days or more prior to departure: loss of deposit
• Cancellations made within 30 days of departure: up to 100% of the tour cost may be forfeited

No refunds apply for no-shows, late arrivals, early departures, or unused services.

Mundi Bash Packages

A deposit is required to secure your package. Your booking is not confirmed until the deposit has been received.

The deposit forms part of the total package price and is non-refundable where it reflects administration expenses, supplier commitments, and other reasonable costs already incurred in securing your booking.

Cancellation by the guest

All cancellation requests must be submitted to Overland Adventures in writing.

The following cancellation charges apply:

  • More than 90 days before the package commencement date: refund of payments made, less a $50 administration fee and any non-refundable third-party or supplier costs already incurred.

  • Between 60 and 90 days before commencement: loss of the booking deposit and any additional non-refundable supplier costs already incurred.

  • Between 31 and 59 days before commencement: cancellation fee of 50% of the total package price.

  • Within 30 days of commencement: no refund will be provided.

  • Failure to arrive or leaving the package early: no refund will be provided for unused accommodation, camping, transport, catering, equipment or other inclusions.

Cancellation charges will not exceed the reasonable loss and costs incurred by Overland Adventures.

Reselling your package

Where possible, we will make reasonable efforts to resell your package.

If the package is successfully resold at the same value, we will refund the amount recovered, less the $50 administration fee and any reasonable costs or non-refundable supplier charges already incurred.

A refund is not guaranteed simply because the package is advertised for resale.

Transferring your booking

You may request to transfer your package to another person, subject to approval by Overland Adventures and any event organiser or supplier requirements.

Requests must be made in writing and may incur an administration fee, ticket name-change fee or supplier charge. Transfers cannot be guaranteed once final guest details have been submitted.

Weather and changed conditions

The Mundi Mundi Bash is an outdoor event, and weather, road, campsite and event conditions may change.

Rain, wind, mud, heat, cold, dust, altered access arrangements, transport changes or changes to the event program do not automatically entitle a guest to cancel or receive a refund where the booked package can still reasonably proceed.

If a guest chooses not to attend because of weather, travel concerns or personal circumstances, the standard cancellation terms will apply.

Nothing in this section limits any rights a guest may have under the Australian Consumer Law where Overland Adventures cannot provide the package or a major part of the services purchased.

Event cancellation or postponement

The Mundi Mundi Bash is operated independently of Overland Adventures.

If the event is cancelled, postponed or materially changed, the event organiser’s terms will apply to Bash admission tickets.

Overland Adventures will assess the services included in our package separately. Where services can still be provided, we may offer a reasonable alternative, amended itinerary, transfer or credit.

Where Overland Adventures cannot provide a booked service, any available refund will be determined according to the circumstances, amounts recoverable from suppliers and the guest’s rights under the Australian Consumer Law.

Cancellation by Overland Adventures

If Overland Adventures cancels the package and cannot provide a reasonable alternative, guests will be entitled to an appropriate refund for services not provided, subject to their rights under the Australian Consumer Law.

Overland Adventures is not responsible for independently booked flights, accommodation, vehicle hire, event tickets or other travel arrangements.

Travel insurance

We strongly recommend that all guests purchase comprehensive domestic travel insurance when booking.

Insurance should be considered for illness, injury, family emergencies, transport disruptions, event cancellation, severe weather and other circumstances that may prevent travel.

Choosing not to obtain travel insurance does not alter this cancellation policy.

Australian Consumer Law

Nothing in this policy excludes, restricts or modifies any consumer guarantee, right or remedy that cannot legally be excluded under the Australian Consumer Law.

Travel Insurance

Comprehensive travel insurance is mandatory and must cover trip cancellation, medical expenses, and personal belongings. Guests travel at their own risk.

Weather, Itinerary Changes & Natural Events

We reserve the right to alter itineraries where required due to weather, road conditions, safety concerns, or circumstances beyond our control.

Where a tour cannot proceed safely, we may offer:
• A credit toward a future departure, or
• Adjustments to the itinerary where possible

Refunds are not guaranteed for events beyond our control.

Insurance & Liability

Overland Adventures & Tri-State Safaris hold public liability and all required operational insurances. Guests must follow all safety instructions provided during the tour.

Privacy Policy

Overland Adventures and Tri-State Safaris are committed to protecting your privacy and handling personal information responsibly.

Collection of Personal Information

We collect personal information required to process bookings and deliver our services, including (but not limited to):
• Name
• Contact details
• Emergency contact information
• Medical or dietary information (where relevant for tour safety)
• Payment and booking details

Use of Personal Information

Your personal information is used solely to:
• Manage and confirm bookings
• Deliver tours and related services
• Communicate important tour information
• Meet legal, safety, and operational requirements

We do not sell or trade personal information to third parties.

Disclosure of Information

Personal information may be shared only where necessary with:
• Tour staff and guides
• Accommodation, transport, or service providers involved in your booking
• Regulatory authorities where required by law

Data Security

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, or disclosure.

Marketing Communications

We may send occasional updates or offers. You may opt out at any time by following the unsubscribe instructions or contacting us directly.

Access & Correction

You may request access to, or correction of, your personal information by contacting us.

Acceptance

By booking with Overland Adventures or Tri-State Safaris, you consent to the collection and use of your personal information in accordance with this Privacy Policy.
